Thinking About Planning a Corporate Holiday Event? It’s Not Too Late!

Are you thinking about hosting a last minute holiday event for your employees? If so, you still have time! I’d like to share some tips for you to keep in mind while planning:
- Budget: It’s very helpful to set a budget from the beginning. You want to always be aware of costs and what you’re spending - you don’t want any surprises at the end!
- Be flexible: If you have a specific place in mind, be patient and flexible. Chances are, they’ll have an opening, whether it’s a Monday night or Thursday night. You might also want to think about different times of day - this can save you some money. Venues want to fill their calendars and welcome the added income – they’ll be more than accommodating!
- Be creative! If you don’t have a budget to host an event offsite, you can host a fabulous office party for a fraction of the cost. All you need is an awesome caterer and a killer decoration concept.
- Be sure to have an accurate headcount: Or as accurate as it can be. Ask the caterer or the venue when the absolute latest deadline is for headcount. A colleague may be unable to score a babysitter at the last minute; another colleague may end up with the flu. If you have 5 cancellations as your party nears, and you’re able to let the caterer/venue know, you end up saving quite a bit of money.
- It’s all about the ambiance: No matter where the venue, you need to create a holiday mood. Don’t forget music and holiday props. Food and drinks don’t necessarily make a rockin’ party.
- Themes are good! Is it a Winter Wonderland? How about a consistent color scheme? No matter what you choose, you should have a holiday party theme (but no need to go overboard, subtle is a good thing too). Drinks, food and décor should all parallel the theme of the day/night.
- Create an itinerary for your event: If you’re planning the event, be sure to have an event flow itinerary. How long is cocktail hour? When will your CEO give a welcome speech? How long do you want people to sit down for dinner? You must plan and account for time -- time FLIES by when you’re having fun!
